Booking Terms

The following Terms and Conditions apply to all bookings made with Pencubitt House whether online, through Booking.com or by telephone or otherwise:

Payment and Cancellation Policy

We would respectfully remind guests that a confirmed reservation constitutes a legally binding contract with Pencubitt House.

A valid Debit/Credit card is required to secure your booking.

Standard Rates: Your £50.00 per room deposit is non-refundable against cancellation. Full balance payment will be charged within 48hrs of your arrival. Any cancellation made within 7 days of your expected arrival will mean that a full booking charge will apply.

Non-Refundable Rates: Your full payment, taken at the time of booking, will not be refunded if cancelled by you at any time after booking.

In the event of a no show or booking reduction (after your arrival date) the full cost of the booking will be charged.

Cards accepted: Visa Debit; MasterCard; Visa Credit; Delta; Maestro; Switch (unfortunately we do not accept American Express)

Alternatively you can pay by BACS (please contact us for details)

Please pay for all food and drink throughout your stay before your departure.

Check In & Out

Your arrival day check-in time is between 4:00pm - 6:00pm (other times are by prior arrangement only). Entry to Pencubitt House is through the porch doors opposite the car park. The inner front door is always securely closed, so please ring the bell to gain access.

Guests are asked to vacate their room by 10:30am on the day of departure.

Parking

Parking at Pencubitt House is complimentary to all our guests. We have a main car park for approx 6 cars plus an overflow area on the porch side of the house for a further 3 to 4 cars, (Please ask upon arrival as currently there are no marked parking bays).

Evening Meals

For our guests only, we offer a Dinner Menu on a pre-order basis only. We have a lovely freshly prepared menu to choose from, (minimum 2 courses).

If you would like to book an evening meal with us on your arrival day, we kindly ask for at least 48 hours notice.

As a guide we normally serve dinner starting from 7:00pm to 7:45pm depending on the number of tables booked. We will confirm your time on receipt of your table reservation.

If you would like to book an evening meal with us on your arrival day, we kindly ask you to forward all your choices by email or telephone giving us at least 48 hours notice.

If you have made your room reservation within 48 hours of your expected arrival and would like an dinner then please call us to discuss on 01579 342694.

For any subsequent dinners during your stay we please ask that you book your table by 9pm at the latest the day before, and then your choices can be given to us by 10am on the morning of your reservation.

On occasions evening meals may not be available at management discretion and in this case we will recommend alternative local restaurants.

Guests with Impaired Mobility

When enquiring about accommodation, please tell us of any special requirements you may have so that we may advise on the suitability of the rooms we offer. All our bedrooms are on the first and second floor and thus only accessible by stairs with a secure handrail. Rooms 1 - 5 are on the first floor and Rooms 6 - 9 are on the second floor. Some have walk in showers others with a shower over bath. We do not have a lift. Please refer to our Access Statement for further information.

Dietary Requirements

We aim to cater for varying dietary requirements (including any allergies and intolerances) but would really appreciate being informed at the time of booking or at least within 48 hours notice prior to your arrival. We use ingredients that may contain one of the 14 food allergens:- gluten, peanuts, nuts, milk, soya, mustard, lupin, eggs, fish, crustaceans, molluscs, sesame seeds, celery, sulphur dioxide. We are able to inform you if an allergen is found in any of our breakfast and evening meal dishes, please ask if in doubt.

Children

We do not accommodate children under 18.

Smoking

Pencubitt House is a completely No Smoking property in accordance with UK Law. There is seating outside in the garden should you wish to smoke.

Smoking in your room will result in a deep cleaning charge of £200.00 being applied to your room account and charged accordingly.

Pets

We are sorry, but we do not accept any pets. Assistance dogs are welcome by prior arrangement.

House Keys

Guests are responsible for their house keys throughout their stay. Please remember to return your keys on departure at the end of your stay. Where keys are lost or taken and not returned to us unfortunately a £50.00 charge will apply and this will be charged to your card details given to us at the time of booking.

Damaged/Missing Items

Whilst we know accidents may happen, should any damage be caused that may require replacement, repair or servicing following your stay, the cost incurred may be charged to you. We reserve the right to charge your debit/credit card for any damage caused to your room during your stay or for any items found to be missing when you leave. We respectively ask that all our Guests conduct themselves appropriately at all times and have respect for the House, its employees, other guests and their health and safety. Guests are requested not to disrupt the comfort and enjoyment of other guests, the smooth running of the House, or cause offence to other guests or our members of staff. We reserve the right to refuse accommodation or services or request you and members of your party to leave the House if, in our reasonable opinion, we consider this provision to have been breached. Where this is the case we shall have no obligation to refund you for lost accommodation, other services or any other loss or expense incurred.
